Reporting is the basis for successful entrepreneurial action: On the one hand, it serves the management as the basis for effective and goal-oriented planning, controlling and decision-making. On the other hand, external investors and lenders review the corporate development by reference to key figures in order to make precise investment decisions. Simultaneously, reports must be submitted to state institutions (e. g. financial market or tax authorities).
The quality of the reporting is essential in each case: The reports must be maximally meaningful in order to be read and interpreted by the recipients as quickly, precisely and clearly as possible. The basic prerequisite for this is an adequate presentation of the contents – ideally via standardised notation concepts for visualisation.
In practice, however, the opposite is still the case very often: Many reports and analyses lack a standardized notation. This e. g. results in ill-defined tables, distorted representations, inappropriate diagrams, confusing graphic presentations, overwhelming report volumes or even in the seemingly arbitrary use of colours. In such cases, all report recipients (internal or external) risk to make suboptimal or worse decisions on the basis of missing, incomplete and/or misleading information.
Information in reporting (internal as well as external) must be prepared and visualized optimally: Only then it can be used as efficiently and advantageously as possible. Thus it is essential that consistent understanding and identical interpretation of content are ensured comprehensively and sustainably: Data mapped clearly, quickly and precisely are increasingly becoming a relevant resp. literally decisive factor of success.
Appropriate Information Design ensures that the respective report recipients get their decision-relevant information appropriately in a precise, transparent and comparable way. The basis for this are defined standards for the visual preparation of information – in form of consistent notation concepts.
In other areas, such nomenclatures have already been used successfully for a long time. A particularly remarkable example is music: Thanks to the internationally valid notation, musicians with different native languages can communicate and cooperate easily with each other on stage. Maps, construction plans and electronic circuit diagrams can also be read uniformly and unmistakably all over the world.
Which, in turn, confirms very clearly: Visual recognition plays a key role in the efficient collection, analysis, understanding and interpretation of complex amounts of information (thus: data) – provided certain regulations are observed. In Business Management, the principles of Information Design are applied with respect to this. By practical application of these principles, enterprises enjoy the opportunity to take their reporting (internal and external) successfully to a new level.

On one screen, dashboards display all important and success-relevant information graphically and/or tabularly – in a condensed, highly aggregated, clear and transparent way. As a result, all relevant key figures can be read and monitored at a glance. Drill-downs and options for data filtering are often available to facilitate a work flow with a maximally effective and target-oriented character.
Optimal Information Design is also essential in terms of dashboards: The visual reception of information is based on the principles of human perception. Thus the design should be as comprehensible and descriptive as possible – ideally based on the quasi-standard IBCS® and accompanied by simple, intuitive user handling.
Compared to conventional reporting solutions, dashboards do not present information in a print-optimized way: Instead, they focus display on screens. The presentation of the respective information details thus fits on just one or a few screen pages. As a result, only information with real relevance is compressed into a format which can be understood quickly and easily.
This is possible statically or dynamically resp. in real time – depending on the reporting purpose and the requirements of the respective consumer. The SAP Analytics Cloud (SAC), for example, can serve as a basic reporting tool. The SAC has already implemented the IBCS® set of rules and therefore does not require any further add-ons from external manufacturers.
The handling of the SAC software can be learnt quite easily and quickly: Even without deep technical knowledge, meaningful and IBCS®-compliant representations can be generated in very short time.
